Get a copy of my deed or mortgage
There are three ways that you can get a copy of your deed, mortgage or other documents on file in our office.
- Stop in and see us. Using your name and address, we will locate your documents and make you copies. Copies are 15 cents if printed off the computer, $2.00 per page if we have to pull the book.
- Send us a written request. You can mail us a request along with the correct fee and a self addressed stamped envelope and we will mail your copy back to you. All mail in copies are $2.00 per page.
- Search our web site. Documents recorded from 1987 to the present are available on our web site.
Who should I make my check payable to?
Checks for recordings and copies should be made payable to the Butler County Recorder.
Do you accept credit cards?
Yes we accept credit cards; however, they are subject to a convenience fee of 2.35% or a minimum of $1.95.
I paid off my house. When will I get my deed?
Unlike a car title, your deed is not held by our office or the bank until you pay off your mortgage. You should have received the original deed back shortly after your closing. If you did not receive it or have misplaced it, we can always make a copy for you.
Change or add a name to my deed
In order to add a person to your deed or change a name, you will need to have a new deed prepared. Our office does not prepare documents, we only record them. We always suggest that you contact an attorney to have a new deed prepared.
See if my mortgage has been canceled
Just paid off your mortgage? Congratulations!
After you pay your mortgage off, your bank will send us a Satisfaction or Release of Mortgage. This document is recorded in our office and cross-referenced against the original mortgage.
If you do not receive a copy of your Satisfaction or Release, we can provide a copy for you.
Search property information
To search real estate documents that have been recorded since 1987, visit our online search.
If you do not know who owns the property or only have the parcel number, you will want to start at the Butler County Auditor's Online Property Search.
Record a document
We record documents Monday through Friday, 8:00 a.m. until 3:30 p.m. Just bring the document and appropriate recording fee to us and we will get it recorded.
Pay my taxes
Your property taxes are paid to the Butler County Treasurer.

Obtain a copy of a birth certificate
The Butler County Health Department maintains and issues birth certificates for Ohio from 1909 to the present.

Obtain a death certificate
The Butler County Department of Health maintains death certificates for Butler County from 1909 to present, except for deaths which occur in the cities of Hamilton or Middletown.
For deaths in the City of Hamilton, contact the Hamilton City Health Department at (513) 785-7080.
For deaths in the City of Middletown, contact the Middletown City Health Department at (513) 425-7851.

Obtain a copy of my DD214
Military Discharges or DD214's that were presented to our office by the Veteran for recording not Public Record.
Military discharges have restricted public access. ORC 317.24 allows authorized parties to request copies of recorded military discharges. Proper identification MUST be presented to view and receive copies.
Authorized parties include the Veteran, a County Veterans Service Officer, an individual with Power of Attorney for the Veteran, the Executor of the Veteran's Estate, a funeral home director.
Copies of DD214's must be requested in-person at the Butler County Recorder's Office by an authorized individual.
If you have lost your DD214 and have never recorded it, the Butler County Veterans Service Commission can direct you in obtaining a copy. Offices are located in Hamilton and Middletown with certified Veteran Service Officers accredited with the Department of Veterans Affairs (VA) available to assist with receiving your DD214, Military Service Information and Medical Records. Get a map of my property
Our office records plats consisting of subdivision lots, city lots and Fairfield Township. Our staff is happy to help you obtain a copy of your plat.
If your property is acreage and has not been assigned a lot number, you will need to obtain a copy of the tax map from the Butler County Engineer's Office.

The Butler County Sheriff maintains a search application in which you can search for foreclosures.

Get a copy of my divorce decree
The Butler County Clerk of Courts is the custodian of court records pertaining to Domestic Relations.
If you need to obtain a copy of your Divorce Decree, visit the Butler County Clerk of Courts.
Find out if a property is in foreclosure
The Clerk of Courts office files the foreclosure suit in their office. You can search the property owners name here.
